ROLE OVERVIEW :

Working closely with Project Managers, the Design Team, Workshop teams, Procurement, Logistics, and Suppliers, you oversee the successful execution of custom luxury upholstery, furniture, window treatment, and millwork projects from project structuring and costing through production, installation, and final closeout.

As the operational leader of the Coordination team, you ensure seamless collaboration between all stakeholders, directing day-to-day production coordination while supporting Project Managers in delivering projects on time, within budget, and to Jouffre's quality standards.

Comfortable operating in both matrix and project-based environments, you coordinate cross-functional teams, optimize workflows, anticipate risks, and drive continuous improvement across the entire production lifecycle.

KEY RESPONSABILITIES

Team Leadership and Operational Management

Lead and develop the Coordination team (3–6 Coordinators), providing coaching, support, and performance management.
Conduct regular 1-on-1 meetings, mid-year reviews, and annual performance evaluations in accordance with Jouffre's management framework.
Promote collaborative, matrix-based working methods that ensure effective communication across Design, Procurement, Production, Logistics, Installation, and Project Management.
Monitor team workload, capacity planning, workflow priorities, and resource allocation to ensure efficient execution.
Track operational KPIs, project status, team performance, and production capacity, providing regular reporting and risk assessments to Senior Management.
Identify operational bottlenecks and lead continuous improvement initiatives to strengthen coordination processes, scheduling accuracy, communication, and supplier collaboration.
Ensure compliance with Jouffre's quality standards, customer specifications, and internal operational procedures.

Project Coordination & Production Planning

Direct end-to-end production coordination from project launch through manufacturing, installation, and project closeout.
Coordinate production readiness and short-term planning, ensuring smooth transition from project approval into manufacturing.
Structure projects at intake by assembling the appropriate internal team, defining responsibilities, and establishing clear execution plans.
Build, maintain, and monitor project schedules and milestones, ensuring alignment between Design, Procurement, Production, Logistics, Installation, and Project Management.
Anticipate project risks related to technical issues, scheduling, budgets, or material availability, and proactively coordinate solutions.
Coordinate engineering changes, customer revisions, and production documentation to ensure manufacturing accuracy and quality standards.
Ensure installation plans are properly prepared, coordinated, and executed with all relevant stakeholders.

Procurement, Vendors & Cost Control

Coordinate supplier and subcontractor activities, including purchase order management, custom sourcing, vendor communications, and order follow-up.
Oversee material availability and procurement planning to support uninterrupted production while minimizing delays.
Lead the consolidation of project costing by coordinating inputs from all internal departments.
Monitor production costs, purchase orders, vendor invoices, and project budgets in collaboration with Finance to ensure budget compliance.
Support inventory planning and purchasing activities to optimize operational efficiency.

ERP, Reporting & Documentation

Ensure projects are accurately structured and launched within the ERP system (Odoo), maintaining complete and reliable project data.
Coordinate project documentation, including specification sheets, approvals, production packages, administrative documents, and manufacturing records.
Utilize ERP systems and Microsoft Excel to manage production planning, reporting, operational analytics, inventory tracking, and project monitoring.
Ensure effective information flow between the Design Office, Procurement, Production, Logistics, and Installation teams through structured reporting and project review meetings.
