The Project Manager is crucial to Artists Equity’s Brand Studio. By coordinating the right resources, they ensure the efficient delivery of high-quality work. They oversee project timelines and milestones, manage assignment progress, handle communications, and implement project controls. A key aspect of their role is developing and maintaining project plans encompassing deliverables, tasks, dependencies, staff allocation, and internal processes. Additionally, they evaluate project risks and communicate contingency plans to stakeholders. This role reports to the Director of Brand Operations.

Essential Functions

· Gather, analyze, and manage project requirements to ensure successful execution of advertising, branding, and marketing initiatives.

· Lead and oversee projects from kickoff through completion, including development of timelines, project plans, budgets, deliverable schedules, and workflow systems.

· Ensure all projects are completed on time, within scope, and aligned with client expectations, AE objectives, and creative standards.

· Maintain consistent in-office presence and actively participate in all required meetings.

· Coordinate and schedule internal meetings, ensuring proper attendee management, calendar coordination, and agenda preparation.

· Facilitate meetings and status calls while managing time effectively to keep discussions focused, productive, and within scheduled timeframes.

· Capture detailed meeting notes, action items, and next steps, and distribute timely recaps to internal teams and stakeholders following meetings.

· Coordinate cross-functional communication between creative, production, strategy, media, account, and leadership teams to ensure seamless project execution.

· Build and maintain strong working relationships with internal teams, leadership, clients, vendors, and external partners.

· Partner with stakeholders to develop communication plans and ensure accurate, effective dissemination of information across departments and project teams.

· Manage multiple projects simultaneously while prioritizing competing deadlines and shifting business needs in a fast-paced environment.

· Create and maintain master project calendars, agendas, and workflow trackers to ensure visibility and accountability across all active initiatives.

· Develop and maintain organized workflow systems to support high-volume project management and evolving priorities.

· Monitor project progress and proactively identify risks, bottlenecks, resource constraints, or timeline concerns, escalating issues as necessary to keep projects on track.

· Collaborate with department leads to develop and maintain standardized templates, briefs, client decks, presentations, and internal documentation.

· Oversee day-to-day organization and maintenance of shared file systems, including Box, Google Drive, uploads, archival systems, and project documentation.

· Partner with Production and Creative teams to establish and track creative development timelines, deliverables, and approvals.

· Proactively follow up with creative leadership and internal teams to ensure deadlines, approvals, revisions, and project expectations are met.

· Ensure the appropriate stakeholders, decision-makers, and team members are included in meetings, communications, and project approvals.

· Evaluate and improve project management workflows, communication systems, and operational processes to increase efficiency and team productivity.

· Analyze project and communication performance metrics and provide reporting, insights, and recommendations for process improvements.

· Prepare presentations, project updates, meeting materials, reports, and supporting documentation for internal and client-facing meetings.

· Support operations, special initiatives, and additional duties as assigned.

Basic Qualifications

· Minimum 6-8 years of experience in Adversiting managing multidisciplinary teams.

· Proven track record of leading and managing complex projects and initiatives.

· Strong strategic thinking and analytical skills

· Excellent organizational and time management skills.

· Strong project management, reporting, and presentation skills.

· Ability to work in a fast-paced, dynamic environment.

· Extremely versatile, able to work autonomously while maintaining a focused dedication to efficient productivity.

· Outstanding communication skills

· Proficiency with Microsoft Office (Excel, Word, PowerPoint) and Google Drive equivalents

· Entrepreneurial nature and ability to solve new processes and client/team needs.

· QSR experience is a big plus
